Privacy Policy
EDIStech Ltd (“EDIStech”, “we”, “us”, “our”) provides electronic data interchange (EDI), eInvoicing, and managed file transfer services, and operates the website edistech.com (the “Site”).
This Privacy Policy explains what personal information we collect through the Site, how we use it, and the choices you have. It applies to visitors to the Site and to individuals whose information we handle in connection with our services.

This policy does not cover personal information EDIStech holds about its customers, suppliers, or trading partners under separate service agreements — that is governed by the relevant contract and, where applicable, a separate data processing arrangement.
1. Definitions

“You” / “Your” means a visitor to or user of the Site.

“We” / “Us” / “Our” means EDIStech Ltd, a company operating from Auckland, New Zealand, with a team based in Brisbane, Australia. EDIStech is part of the Vela Software Group, a division of Constellation Software Inc.

“Personal information” means information about an identifiable individual, as defined in the New Zealand Privacy Act 2020.

2. Information We Collect

Browsing the Site. You can browse most of the Site without providing any personal information.

Information you provide to us. When you submit an enquiry, request a demo, or otherwise contact us through a form on the Site, we collect the information you provide — typically your name, email address, phone number, company name, and the details of your enquiry.

Usage and analytics data. We automatically collect data about how visitors use the Site, including pages viewed, time on page, referring and exit pages, approximate location (derived from IP address), device and browser type, and general navigation patterns. We use this aggregate and analytics data to understand how the Site is used and to improve its content and performance.

Cookies and similar technologies. The Site uses cookies and similar tracking technologies, including those associated with our marketing and CRM platform, HubSpot (see Section 3), to recognise repeat visitors, understand site traffic, and measure the effectiveness of our content. You can control or disable cookies through your browser settings; doing so may affect some Site functionality. We do not use cookies to store sensitive personal information.

3. Use of HubSpot
​
We use HubSpot, a third-party customer relationship management (CRM) and marketing platform, to operate this Site. Specifically:

Forms and enquiries. When you complete a contact, enquiry, or demo-request form on the Site, the information you submit is stored in our HubSpot CRM so that our team can respond to you and manage our relationship with your organisation.

Website analytics and tracking. HubSpot’s tracking code runs on the Site and collects the usage and cookie data described in Section 2, including your IP address, pages visited, and referral source, to help us understand visitor behaviour and improve the Site.

HubSpot processes this data on our behalf and may store it on servers located outside New Zealand (including in the United States and other jurisdictions where HubSpot operates). HubSpot’s own privacy practices are described in the HubSpot Privacy Policy. We only use HubSpot to support our own enquiry-handling and Site-improvement purposes; we do not sell or make your information available to HubSpot for HubSpot’s own marketing purposes.

4. Use of Artificial Intelligence
​
We use AI-assisted tools internally to help draft and review website content, and to analyse aggregate Site usage and analytics data (for example, to identify trends or summarise performance), in accordance with the Vela Software AI Usage Policy (April 2026). All AI-generated content has been reviewed and approved by the named author(s). These tools support our own internal processes; they are not used to make automated decisions about individual visitors, and we do not currently use an AI chatbot or automated assistant to interact directly with visitors on the Site. If this changes, we will update this policy accordingly.

Where we use AI tools that process personal information, we take reasonable steps to ensure that information is handled consistently with this policy and is not used to train third-party models beyond what is necessary to provide the tool.

5. How We Use Your Information

We use the personal information described above to:

operate, maintain, and improve the Site and understand how it is used;

maintain accurate CRM records of our prospects, customers, and business contacts; and

meet our legal and contractual obligations.

We do not sell your personal information. We only disclose it:

to service providers who process it on our behalf for the purposes described in this policy (including HubSpot, and our website development and hosting providers);

7. Cross-Border Data Transfer

Because our team, service providers, and group companies operate across New Zealand, Australia, and other jurisdictions, personal information collected through the Site may be stored or processed outside New Zealand. Where we transfer personal information overseas, we take reasonable steps to ensure it is protected to a standard comparable to the protections in the New Zealand Privacy Act 2020, including through our contracts with service providers such as HubSpot.

8. Data Retention

We keep personal information only for as long as is reasonably required for the purposes described in this policy, or as required by law. Enquiry and CRM records are periodically reviewed and removed once they are no longer needed for an active relationship or legal purpose.

9. Security

We take reasonable technical and organisational measures to protect personal information we hold from loss, unauthorised access, use, modification, or disclosure. No method of transmission over the internet or electronic storage is completely secure, so we cannot guarantee absolute security.

Under the New Zealand Privacy Act 2020 (and, where relevant to our Brisbane-based team and Australian contacts, the Australian Privacy Principles under the Privacy Act 1988 (Cth)), you have the right to ask for access to, and correction of, personal information we hold about you. 11. Children’s Privacy

The Site is intended for business use and is not directed at children. We do not knowingly collect personal information from children.

We may update this Privacy Policy from time to time to reflect changes in our practices, our use of third-party tools such as HubSpot and AI-assisted tools, or legal requirements. The “Last updated” date at the top of this page shows when it was last revised. We encourage you to review this page periodically.
